
Position Title: Special Events Coordinator
Employment Status: Full Time (40 hours per week). Morning, evening, and weekend work is occasionally required to support Chamber events and programs.
Reports to: President & Chief Executive Officer
Overview: The Latino Chamber of Commerce is seeking a highly organized, creative, and motivated Special Events Coordinator to lead the planning and execution of events that strengthen our business community and advance the Latino Chamber’s mission. This position is responsible for managing all aspects of Chamber events, including planning, logistics, sponsorship development, marketing, communications, volunteer coordination, and on-site event execution. The Special Events Coordinator also plays a key role in building and maintaining strong relationships with Chamber members, sponsors, community partners, and volunteers while delivering exceptional experiences that promote engagement and support the Chamber's programs and initiatives.
Summary of Primary Duties and Responsibilities: (This is a listing of primary duties and responsibilities and is not inclusive of all duties that may be required.)
- Provides administrative support to ensure efficient Chamber operations
- Answers, screens, and directs incoming phone calls while providing exceptional customer service to members, partners, and the public
- Provides general support to office visitors
- Prepares any needed materials for Chamber board meetings and office meetings
- Develops and maintains the Chamber’s annual events calendar and coordinates event scheduling
- Works with the Special Events Committee and President/CEO to develop and maintain a budget and overall plan for all events
- Serves as the primary point of contact for sponsors, vendors, venues, volunteers, members, and community partners regarding event planning and logistics
- Oversees all phases of event planning and execution, including venue selection, contracts/agreements, logistics, room layouts, registration, entertainment, speakers, audiovisual needs, setup, and teardown
- Secures sponsorships, donations, and contributions for all events
- Prepares agendas and schedules for current and potential Chamber events/programs
- Collaborates with Chamber staff to develop and implement marketing strategies and promotional materials for Chamber events and programs
- Proposes new ideas to improve current events and develop new events/programs
- Represents the Latino Chamber at community and Chamber functions and meetings
- Performs other duties and special projects as assigned to support the Chamber’s mission and strategic priorities
Education and Experience:
Preferred Qualifications:
- Associate’s or bachelor’s degree in business administration, marketing, mass communications, non-profit, hospitality, public relations, or a related field
- One or more years of experience in event planning, nonprofit organizations, business development, customer service, marketing, communications, sales, or administrative support
Skills and Knowledge:
- Proficient in the use of computers, including all Microsoft Office products
- Experience using social media platforms and Canva or similar design software is preferred
- Strong organizational skills with the ability to perform multiple tasks and assignments concurrently
- Ability to work independently while collaborating effectively with a team
- Excellent time management skills and the ability to prioritize tasks
- Attention to detail and problem solving skills
- Strong written and verbal communication skills
- Fluency in both English and Spanish (verbal and written) is preferred
- Ability to lift up to 40 pounds and assist with event setup and teardown
Other: Must be willing and able to work outside of normal working hours, must have a valid Colorado Driver’s License, and access to a reliable vehicle during working hours and proof of automobile insurance.
Compensation: $18.30 Per Hour - $21.30 Per Hour, plus eligibility for up to a $1,600 sign-on bonus (paid in installments).
